Position Summary

JAAGO Foundation is seeking a detail- oriented and proactive Coordinator - U- GO Global Scholar Data & Platform Operations to support the management, quality assurance, and operational coordination of scholar and graduate data systems under the JAAGO Women Scholarship Programme in partnership with U- GO.

The position will play a key role in coordinating scholar and graduate information management across U- GO's implementing partner network, ensuring data accuracy, consistency, completeness, and availability through agreed digital platforms. The Coordinator will serve as an operational link between U- GO, implementing partners, JAAGO's programme team, and technology team to support effective data management, platform operations, learning system coordination, and reporting.

The role requires strong English communication skills, attention to detail, stakeholder coordination ability, and confidence working with digital platforms, databases, and large datasets. The position will support international collaboration, partner communication, system onboarding, and continuous improvement of scholar management processes.

Job Responsibilities

Scholar and Graduate Data Management

  • Coordinate with U-GO implementing partners for collection, validation, updating, and maintenance of scholar and graduate information.
  • Review datasets to identify missing, incomplete, duplicated, inconsistent, or incorrectly formatted information.
  • Ensure standardisation of data fields and formats according to agreed data structures and processes.
  • Support migration of verified information into centralised scholar data systems.
  • Maintain updated records of data status, pending actions, and partner follow-ups.
  • Ensure scholar and graduate data remains accurate and structured for reporting, analysis, and future system integration.
  • Respond to authorised requests related to scholar and graduate information.

Graduate Outcome Tracking

  • Coordinate collection of graduate outcome information including education, employment, further study, and other relevant updates.
  • Support implementation of standardised graduate tracking processes across participating partners.
  • Follow up with partners and graduates regarding incomplete or pending information.
  • Conduct quality checks before integrating information into central systems.
  • Support alignment between alumni engagement activities and graduate data management processes.
  • Recommend improvements to graduate tracking approaches based on implementation learning.

International Partner Coordination

  • Serve as the operational focal point for assigned scholar-data and platform coordination matters with U-GO implementing partners.
  • Maintain professional communication with international stakeholders through emails, meetings, reports, and presentations.
  • Prepare clear instructions, follow- up communications, guidance documents, and progress updates.
  • Coordinate partner data submissions, corrections, access requirements, and pending actions.
  • Support partner orientation and onboarding related to agreed systems and processes.
  • Track unresolved issues and ensure timely escalation to relevant U- GO and JAAGO focal points.
  • Participate in virtual and physical partner meetings as required.

Reporting, Documentation and Process Improvement

  • Maintain trackers, documentation, and records related to data management, partner coordination, and platform implementation.
  • Prepare professional progress updates and reports in English.
  • Document implementation challenges, risks, delays, and data- quality issues.
  • Maintain process documentation, guidelines, and standard operating procedures.
  • Support programme monitoring, reporting, and management decision- making.
  • Contribute to continuous improvement of operational systems and processes.

Platform and Technology Coordination

  • Act as an operational bridge between U- GO partners and JAAGO's technology team.
  • Document platform issues, user requirements, and feedback for technical review.
  • Coordinate user onboarding, access management, and basic platform orientation.
  • Track technical issues and follow up with relevant teams until resolution.
  • Support user testing and operational implementation of platform improvements.
  • Maintain records of recurring issues and improvement recommendations.

Learning Management System (LMS) Coordination

  • Coordinate LMS access for eligible U- GO scholars.
  • Support scholars and partners with onboarding and access- related guidance.
  • Coordinate LMS- related issues with relevant JAAGO teams.
  • Monitor agreed participation and access information.
  • Maintain communication between U- GO, JAAGO, and partner organisations regarding LMS operations.

Future Partner Platform Onboarding

  • Support selected partners in adopting relevant components of JAAGO's scholar management platform, subject to partnership approval and technical readiness.
  • Coordinate operational requirements between U- GO, partners, and JAAGO teams.
  • Support process mapping, data preparation, user orientation, and implementation follow- up.
  • Collect partner feedback and communicate system requirements.
  • Support pilot implementation and future expansion initiatives.

Safeguarding:

  • Uphold and promote the organization's safeguarding policies to ensure the safety, dignity, and well-being of all children, young people, and vulnerable adults engaged in our activities.
  • Immediately report any concerns, suspicions, or incidents of safeguarding breaches in line with the organization's reporting procedures.
  • Maintain professional boundaries and conduct that fosters a safe and respectful environment for all beneficiaries, colleagues, and stakeholders.

Qualifications & Experience 

Education:

  • Bachelor's degree or equivalent combination of relevant education, training, and professional experience in Development Studies, Social Sciences, Business Administration, Information Management, Data Management, or any relevant discipline.

Experience:

  • Minimum 2-4 years of relevant experience in data management, programme coordination, database administration, digital platforms, reporting, or related roles.
  • Experience working with NGOs, development organisations, education programmes, scholarship programmes, or international partnerships will be preferred.
  • Experience coordinating with external stakeholders, international partners, or remote teams is desirable.
  • Experience working with spreadsheets, databases, CRM systems, or digital platforms is preferred.

  • Proficiency in Google Sheets, Google Forms, Microsoft Office, and digital collaboration tools.
  • Ability to quickly learn and operate new digital platforms and systems.
  • Understanding of confidentiality, data protection, and responsible handling of sensitive information.
